FBT DMC – Fixed Departure Tours
These Terms & Conditions govern all bookings made with FBT DMC for fixed departure tour programs. By confirming a booking, the client agrees to the terms outlined below.
1. Booking Confirmation
All bookings are subject to availability and will be confirmed only upon receipt of the required deposit or full payment as specified in the quotation.
FBT DMC reserves the right to decline or cancel any booking prior to confirmation without liability.
2. Payment Policy
A non-refundable deposit is required at the time of booking to secure the seat on a fixed departure.
The balance payment must be completed within the deadline mentioned in the booking confirmation. Failure to do so may result in automatic cancellation without prior notice.
All payments must be made via approved banking channels or payment modes specified by FBT DMC.
3. Cancellation Policy
Since fixed departures operate on pre-blocked arrangements, the following cancellation charges apply:
More than 30 days before departure: Deposit is non-refundable
30 to 15 days before departure: 50% of total booking cost
14 to 7 days before departure: 75% of total booking cost
Less than 7 days or no-show: 100% cancellation charge
No refunds will be provided for unused services, including no-shows, late arrivals, or early departures.
4. Amendments
Name changes are not guaranteed and may be treated as cancellation and rebooking.
FBT DMC reserves the right to refuse amendments close to departure dates
5. Fixed Departure Policy
Fixed departure tours operate on a scheduled basis with predefined itineraries.
Clients must strictly adhere to reporting times, departure schedules, and group movements.
Failure to join the group on time will be treated as a no-show, and no refund will be applicable.
6. Minimum Group Requirement
All fixed departures are subject to minimum group size requirements.
If the minimum number of participants is not met, FBT DMC reserves the right to:
Reschedule the departure
Offer an alternative package
Provide a refund (excluding non-recoverable costs)
7. Travel Documents & Visa
Clients are solely responsible for ensuring valid passports, visas, and any required travel documents.
FBT DMC is not liable for any denial of visa, immigration refusal, or travel restrictions imposed by authorities.
Any visa assistance provided is on a best-effort basis and does not guarantee approval.
8. Flights & Transportation
Unless explicitly mentioned, flight tickets are not included in the package.
Any delays, cancellations, or schedule changes by airlines or transport providers are beyond the control of FBT DMC.
No compensation will be provided for disruptions caused by third-party transport providers.
9. Accommodation & Services
Hotels and services are subject to availability at the time of booking.
In case of unavailability, similar category alternatives will be provided.
Standard check-in and check-out times apply as per hotel policies
10. Itinerary Changes
FBT DMC reserves the right to modify the itinerary due to:
Weather conditions
Weather conditions
Safety concerns
Government regulations
All efforts will be made to provide alternative arrangements of similar value.
11. Liability
FBT DMC acts only as an intermediary between clients and service providers such as hotels, transport companies, and airlines.
FBT DMC shall not be held responsible for:
Injury, loss, or damage to personal belongings
Delays, cancellations, or disruptions beyond control
Acts of God, natural disasters, political unrest, or force majeure events
12. Travel Insurance
Travel insurance is highly recommended for all clients.
FBT DMC shall not be responsible for any medical emergencies, losses, or unforeseen incidents during the trip.
13. Code of Conduct
Clients are expected to behave responsibly and respect local laws, cultures, and fellow travelers.
FBT DMC reserves the right to terminate services without refund in case of misconduct or disruptive behavior.
14. Pricing Policy
All prices are subject to change without prior notice due to:
Currency fluctuations
Fuel surcharges
Government taxes
However, once the booking is confirmed and paid, prices remain fixed.
15. Acceptance of Terms
By confirming the booking and making payment, the client acknowledges that they have read, understood, and agreed to these Terms & Conditions.
